Here’s how you enter a yearbook item into our Omeka site
- Head to the admin side of our archive, which uses Omeka http://blackstudentslives.org/archives/admin
- Login using your credentials. Your default username is your wcupa email address, all lowercase. Your default password is your wcupa email address, all lowercase. (credentials will be activated 1/27)
- From the dashboard, select “items”
- From the top menu, select “add an item”
- Carefully fill out the fields in the form, attending to correct spelling and capitalization.
- Here’s a recipe for Yearbook items:
- Title = title of item. Many are unnamed and we have to name them. Put on your librarian’s hat and try and objectively describe the item in its name. For the example we sued from 1913, I named the item “Untitled illustration of Faculty” as my name. That’s going to be the Title of the item. If the item is a Person, then the title=the Yearbook Caption under their photo.
- Subject is an objective classification of the content of the article. Think librarians classifying the item. What might ALL agree the subject is?This subject might be Faculty Student relationships.
- Description is your description of the article. For example, “This untitled illustration from page 25 of the 1913 Serpentine shows three rail tracks: the Main Line, Substitute Line, and Fresh Air Line. A sweating “faithful student” pulls a corpulent individual in a tuxedo on the Main Line track. The individual in the tuxedo holds a whip whose long trailing tip spells out Faculty.” The description describes the object for a viewer. It will be public.
- Creator = author of item. Most yearbooks do not source their items.
- Source = Name of the book (The Serpentine)
- Publisher = As identified in each yearbook. Sometimes at front, sometimes at back. But they do. In 1913, the title page identifies the book as published by the Senior Class of West Chester State Normal School. Special Collections, Francis Harvey Green Library, West Chester University
- Date = publication date of yearbook
- Contributor = your name. Required.
- Rights = (paste this entire section–>) Digital images in Library Services’ Digital Collections are issued by Special Collections, Francis Harvey Green Library, West Chester University. Images are provided for non-commercial, educational, and personal use only, and are not intended for reproduction or redistribution. For the above purposes the user may reproduce these materials (by download, printing, etc.) without further permission, on the condition that proper attribution of the source for all copies is provided by clearly acknowledging the name of the Library, the title of the web page or resource and the URL at which it was located, please credit as follows: Special Collections, Francis Harvey Green Library, West Chester University, West Chester, Pennsylvania. For questions regarding use of digital materials contact Special Collections (libspeccol@wcupa.edu or 610-436-3456).
- Identifier = the url to the image page. E.g. “https://archive.org/details/serpentine1913penn/page/25”
- When done select “Item Type Metadata” from the top menu”
- Under item type, you have two choices. Still Image or Person.
- Still Image is for images you find significant and want to archive.
- Under Original Format, describe the image. Illustration, photo, etc
- Since you’re not interacting with the original, leave blank physical dimensions.
- The other item type typical in yearbooks is a Person. Select that under item type metadata.
- Person is for individuals at WCU. We use the Yearbook to identify and name the individual.
- Alternate Name = if the person had a widely known nickname that you’ve seen in newspapers, etc, type that here.
- Year of graduation = Year of the Yearbook for seniors.
- Senior Directory Listing = provide the URL to the yearbook page that lists the students name in the directory (end of the yearbook). example: https://archive.org/details/serpentine1974penn/page/368
- Yearbook Photo = provide a url to the page with the yearbook photo from the yearbook. example: https://archive.org/details/serpentine1974penn/page/298
- Home Address: copy from the directory listing, adding correct format as needed (usually “, PA” after the city name)
- There’s a lot of fields to input data that you may not have (but you may!): Dorm, Birthdate, Birthplace, etc. Don’t feel bad about skipping any of the fields not listed in this recipe.
- At the end of the directory, students list the organizations they joined by year (1, 2, 3, 4). We *really* want that info because it helps us establish networks between students. We agree to prioritize the BSU (list it first if a student is a member) unless the student has a significant role in another org and NOT in the BSU, in which case you can begin with that organization. After BSU, follow the order from the yearbook (on the premise that the students chose that order for a reason). Each Org is followed by Org years. So for each org listed in the directory, there’s two entries needed: the Org ID, and the years the student served that org.
- Org is the last group of info needed in Item Type Metadata.
- Now Click the tab for “Files”
- There are two files needed for Persons, one for other items. For other items (illustrations and photos), crop the image you downloaded to its relevant item (unless your interest really is the entire page) and save the png, then choose the file in this screen.
- For persons, we need to upload two files here: first, the entire page image of the directory listing should be selected. Second, the cropped yearbook entry with photo, name and degree. Add another file to allow two files to be added.
- Next, for Persons, it’s important to locate the student by their home address listed in the Yearbook. Click the tab for Map and add the home address from the directory listing in that field. Click “find” to locate the address.
Final Step: Add the item! Now, after all is in order, click “Add Item” to create the item for your newspaper article and upload the images to the project’s archive. This step creates the item with all of the information contained in the previous steps. If this messes up, or you avoid this, nothing gets added.
